Can't find a note you know you wrote?
The short answer: first rule out the app-specific reasons below; each takes a minute. If none of them apply, the likely cause is that you're searching for different words than you wrote. Most note search matches words, not meaning, so the note is there but your search doesn't match it. Search by meaning fixes that; having notes surface on their own fixes the times you forget to search at all.
Quick checks, app by app
Notion
- Some things aren't searched.Comments, @-mentions of pages and people, and select or multi-select property values don't appear in search results. If the phrase you remember was in a comment or a tag, search won't find it.
- A filter is still on. Title only, Created by, In, Teamspace and Date filters stay set. Clear them and search again.
- You can't see the page.A page inside a private parent page, or in a teamspace you're not in, won't show up for you.
Apple Notes
- Locked notes.Only the title of a locked note is searched, even while it's unlocked.
- Wrong account.If you use both iCloud and On My iPhone (or a Gmail account in Notes), make sure you're searching all of them, not one folder.
- Recently Deleted.Deleted notes stay there for up to 30 days before they're gone.
Evernote
- Narrow it with search syntax.
intitle:searches titles,tag:a tag andcreated:a date range, which helps when a plain search returns hundreds of notes.
Obsidian
- Use its operators. Put a phrase in quotes for an exact match, and use
path:,file:,tag:orline:()to narrow where it looks.
The cause none of those fixes touch
When the checks all pass and the note still doesn't appear, it's usually the words. You remember the idea, not the phrasing. You wrote “our tools are a mess”; you're searching “productivity stack”. Word-matching search can't connect those, however fast or well-indexed it is.
The other version of the problem is worse: the note you needed was one you'd forgotten you wrote, so you never searched at all. No search box fixes that one, because search only starts when you remember there's something to find.
What fixes it
- Search by meaning. Semantic search compares what a passage means rather than which words it uses. Several tools offer it now, including Evernote and Joplin, and plugins such as Smart Connections for Obsidian.
- Search passages, not whole notes. A long note that mentions your topic once in paragraph twelve ranks badly as a whole. Matching paragraph by paragraph finds that one paragraph.
- Let notes come to you.For the notes you've forgotten, the only fix is a tool that looks at what you're working on and shows the related passage without being asked.

Why doesn't Notion search find something I know is there?
Notion search leaves out comments, @-mentions of pages and people, and select or multi-select property values. Check the search filters too: a Title only, Created by, In or Date filter left on from last time hides everything outside it.
Why can't Apple Notes find text in a note?
If the note is locked, only its title is searched, even while it's unlocked. Otherwise check you're searching all accounts, not one folder, and that the note isn't in Recently Deleted.
What is semantic search in a notes app?
Search that matches meaning instead of exact words, so "what to charge" can find a note titled "pricing the annual plan". It usually works by turning each passage into numbers that represent its meaning and comparing those.
Is it faster to just reorganise my notes?
Reorganising helps you find things you know you have, if you remember where you filed them. It doesn't fix mismatched words or forgotten notes, and it becomes another job to keep up.
